Introduction
The National College of Hypnosis and Psychotherapy (NCHP) is committed to supporting trainees in achieving UKCP accreditation within a reasonable timeframe while acknowledging that exceptional circumstances may necessitate an extension beyond the standard seven-year deadline. This policy outlines the criteria, process, and decision-making framework for granting such extensions.
Eligibility for Extension Requests
Trainees who are unable to complete their accreditation within the seven-year period due to extenuating circumstances may apply for an extension. Acceptable reasons for requesting an extension include, but are not limited to:
- Serious illness (personal or of a close family member)
- Bereavement
- Significant personal hardship (e.g., financial hardship, caregiving responsibilities)
- Maternity, paternity, or adoption leave
- Unforeseen work commitments beyond the trainee’s control
- Other exceptional circumstances (at the discretion of NCHP)
Extension Duration
Extensions will typically be granted for a period of up to one additional year. In exceptional cases, a second extension of up to two further years may be considered. Under no circumstances will an extension exceed a total of ten years from the start of training.
Application Process
Submission of a Formal Request
The trainee must submit a written request to the Director of Student Experience.
The request must outline the reasons for the extension, supported by relevant evidence (e.g., medical certificates, employer letters, personal statements, supervisor statement).
Along with the formal request, the trainee must submit a proposed timetable detailing how they plan to complete all outstanding requirements within the extension period.
Review Process
The Board will review the application within four weeks of submission.
Additional documentation may be requested if necessary.
Decision and Notification
A written decision will be provided to the trainee, detailing whether the extension is granted, its duration, and any conditions that apply.
If the extension is denied, the trainee will receive a written explanation and information on the appeals process.
Conditions of an Extension
- The trainee must remain engaged in training and supervision during the extension period.
- Any outstanding coursework, clinical hours, or other requirements must be completed within the extended timeframe.
- The trainee may be required to undertake additional refresher training if there has been a significant gap in study or practice.
- UKCP membership and ethical standards must be maintained throughout the extension period.
- Where there is proof of the inability to work during a specific time frame for example, maternity leave no fee will be payable for this period of time. Anything over this there will be a fee of £500 per year for an extension, to cover administrative, support and marking costs.
Appeals Process
If a trainee disagrees with the decision regarding their extension request, they may submit an appeal to the Board within 28 days of receiving the decision. The Board will review the case and provide a final decision within six weeks.
Review and Amendments
This policy will be reviewed annually by the Board to ensure alignment with UKCP regulations and best practices. Amendments will be made as necessary to reflect changes in policy and trainee needs.
